This Privacy Policy explains how information is collected, used, stored, protected, and disclosed when you use the SAN Books mobile application, website, and related services (collectively, the "Services").

By using SAN Books, you acknowledge the practices described in this Privacy Policy.

1. About SAN Books

SAN Books is a business management, accounting, and Enterprise Resource Planning (ERP) platform developed and operated by SAN HUB COMPUTER SOFTWARE TRADING L.L.C, Dubai, United Arab Emirates.

SAN Books provides businesses with tools for accounting, invoicing, sales, purchases, inventory, payments, expenses, payroll, projects, reporting, document management, approval workflows, and other business operations.

2. Information We Collect and Process

We collect and process information necessary to provide, secure, maintain, and improve SAN Books.

SAN Books processes financial and accounting information necessary to provide its business management functionality, including:

3. Camera

SAN Books uses camera access only when the user chooses to capture an image or document from within the application. The camera may be used to:

  • Capture invoices
  • Photograph bills or receipts
  • Capture supporting accounting documents
  • Take product images
  • Attach images to transactions or business records
  • Capture other business-related documents

SAN Books does not continuously access or activate the device camera. Camera access occurs only after the user initiates a feature requiring the camera and grants the required device permission. Camera permission can be disabled at any time through the device settings. Features requiring the camera may not function when permission is disabled.

4. Photos, Documents, and Files

SAN Books allows users to select and upload photos, documents, and files from their devices. These may include:

  • Invoice images
  • Receipt images
  • Product images
  • PDF documents
  • Business documents
  • Transaction attachments
  • Supporting documentation
  • Other files selected by the user

SAN Books accesses only the content selected or authorized by the user for use within the application. SAN Books does not access photos or files for unrelated advertising or marketing purposes. Uploaded content may be securely stored as part of the organization's SAN Books business records.

5. Notifications

SAN Books uses notifications to provide relevant business, account, workflow, and security information. Notifications may include:

We do not sell personal information. We do not use confidential customer business, accounting, payroll, or financial information for third-party advertising.

8. Organization-Controlled Data

SAN Books is primarily provided to businesses and organizations. The organization using SAN Books generally determines what business information is entered into the system, which employees or users have access, their roles and permissions, and how information is used within the organization.

SAN HUB processes this information to provide and operate SAN Books. If your SAN Books account is provided or managed by an employer or another organization, certain requests regarding organization-controlled information may need to be submitted to the relevant organization administrator.

9. Information Sharing

SAN HUB does not sell personal information. Information may be processed by trusted service providers only where necessary to operate, secure, maintain, and support SAN Books. Such services may include:

Where a customer independently enables or connects SAN Books to an external third-party service, information processed by that service is also subject to the third party's applicable privacy policy and terms.

SAN HUB does not authorize third-party service providers to use confidential SAN Books customer information for their own advertising purposes.

11. Data Storage and International Transfers

Information processed through SAN Books is stored and processed using secure infrastructure. Where information is processed outside the user's country, SAN HUB takes reasonable measures to protect personal information in accordance with applicable data protection requirements. Appropriate safeguards are applied where required for international transfers of personal information.

12. Data Security

SAN HUB implements reasonable administrative, organizational, and technical measures designed to protect information processed through SAN Books against unauthorized access, disclosure, alteration, misuse, loss, or destruction. Security measures include, where appropriate:

No electronic transmission, cloud platform, or storage system can be guaranteed to be completely secure. Users are responsible for protecting their login credentials and should immediately report suspected unauthorized access to SAN HUB or their organization administrator.

13. Data Retention

SAN HUB retains information only for as long as reasonably necessary to provide SAN Books and fulfill legitimate business, contractual, accounting, tax, security, and legal requirements. Retention periods depend on the nature of the information and applicable requirements. Information may be retained to:

  • Maintain customer accounts
  • Provide SAN Books services
  • Maintain accounting and business records
  • Fulfill contractual obligations
  • Provide customer support
  • Resolve disputes
  • Prevent fraud and security incidents

After information is removed from active systems, limited copies may remain temporarily in secure backups until those backups are deleted or overwritten according to applicable backup retention procedures.

Users and authorized organization representatives may request deletion of eligible personal information or their SAN Books account. Account and data deletion requests can be submitted by email to:

The request should identify the relevant SAN Books account or organization. For security purposes, SAN HUB may verify the identity and authority of the requester before processing a deletion request. Users should never send passwords or unnecessary confidential financial information when submitting a request.

Deletion requests are subject to applicable legal, contractual, accounting, tax, regulatory, security, fraud-prevention, and record-retention requirements. Where information must be retained to comply with applicable requirements, it may be retained for the required period and restricted from unnecessary processing.

For accounts controlled by an employer or another organization, authorization from the organization's administrator may be required.

15. Your Privacy Rights

Subject to applicable law, users may have the right to:

  • Request access to their personal information
  • Request correction of inaccurate personal information
  • Request deletion of eligible personal information

SAN Books is a business and professional software platform. SAN Books is not directed to children and is not intended for personal use by children. SAN HUB does not knowingly collect personal information directly from children through SAN Books. If SAN HUB becomes aware that personal information from a child has been collected inappropriately, reasonable steps will be taken to investigate and delete or otherwise appropriately handle the information.

17. Cookies and Web Technologies

The SAN Books website and web application use cookies and similar technologies where necessary to:

  • Maintain secure login sessions

SAN HUB does not use confidential accounting or financial information stored in SAN Books for behavioral advertising.
